    Personally, I don't think it needs to be a huge event, especially for the first one. I do think it needs to be at least a weekend thing, though, to make it worth the trip. If we could work out someplace to hangout on Fri. evening, a place to have a car show on Saturday and then something to do saturday evening, and head back on Sunday, that might be good. A bonus would be a small block of rooms at a hotel with a discount. Just a quick search in Asheville came up with several paranormal groups with ghost/historical tours. Maybe they might be interested in a combined event.

    Anyway, just a few thoughts off the top of my head.

      i was thinking along those lines also. Ed gave me a link to the hotel he recommended. Perhaps if they have a conference room for us to use also.

        Well that guy hasn't gotten on here to check and hasn't seen the message, or just hasn't accepted my friend request that I had to send (can't send messages to non-friends). So I made a forum post hoping at least one of them might see it.

          The President of our club will be on the conference call. I will be working.
          Is there anybody on here that lives in Asheville that could find a place for a car show? We will need a large parking lot or open area.

            i was thinking perhaps if we partner with a local business to use their lot. perchance any ghost tour companies have a parking lot? we could sell it as publicity for them.

              Ashville is a great town. Its fairly close to the Casino in Cherokee . The town of Black Mountain is pretty cool. Oh yea ! The Tail of the Dragon. US129, 318 turns in 11.3 miles Fun road just have good brakes. Plus the Smokey Mountain Parkway is very close. I was a member of a motorcycle groupe that met there once a year. I would just have the first meeting a get together to investigate the area. Next year you can take what you have learned and do planned rides. Maybe a Hearse show or cruise in.

                Here's the call agenda. Conference calls with a lot of people can be difficult to manage, so we'll have to do our best to keep our phones on mute and try not to talk over each other.

                1. Roll Call: I want an understanding of what hearse clubs are represented on the call along with the names of the presidents or chief representative. I will try to go state-by-state through the south east so we aren't all trying to talk on top of each other.

                Presidents or administrators in chief - please go ahead and send me your contact information through private message.

                2. Location: i would like to get a consensus for a location of the meet. Right now we seem to be leaning towards Asheville, NC. I would like to finalize this, or hear alternate suggestions

                3. Time: Half of us seem to prefer November, the other half March or April. I would like to come to some agreement, however we may need to vote in our respective clubs and report back.

                4. Committee: I would like to form a committee to handle planning and execution of this event. The committee should have one representative from each attending club. Going forward, this regularly scheduled conference call will be for the committee only, and it will share deliberations with everyone via this forum and the NHAA after each call.

                  OK - Thanks to everyone that participated on the call. Here are the minutes and things we need to decide in our member clubs before the next conference call, which is Thursday, 9/20 at 8:00 pm EST.

                  1. Finalize a date. The majority voted for spring 2013 between March and May. If we need to spill into the first or second weekend of May, that's probably fine. According to Carolina Coffin Cruisers, 2nd weekend in April and 22 - 24th of March are NOT available.

                  2. This will be a weekend event. Check-in Friday, check out and go home sunday.

                  3. Hotel - Eddie Brown of Unholy City HC will be responsible for tracking down the hotel, including inquiring about rates, group discounts, minimum number of rooms for group discounts, and whether or not we can get a conference room.

                  4. Location Scout - Darrel of CCC will organize a location scouting trip, date TBD. Scouting trip will be open for general participation. The location scout will determine points of interest, activities, and a cruise route.

                  5. Car Show organizer - Eddie and one other volunteer will work together to determine the best possible location for a car show during saturday. The location may or may not be our host hotel.

                  6. Car Show Award Organizer - we need a volunteer who will oversee and organize car show awards including categories and producing trophies.

                  7. Car Show Vendor Organizer - we need a volunteer who will work with local Asheville businesses to vend and/or sponsor the car show with prizes, etc, etc.

                  8. Car Show Advertising Organizer - if we are going to the trouble to do a full car show, we need someone in charge of advertising it locally in asheville. this should involve primarily ONLINE advertising in the form of facebook calendar invites, other online communities, etc, etc, but may also involve printed fliers emailed or mailed to local businesses, etc.

                    Sounds like you guys had a decent conference call last night. I'm sorry that I wasn't able to join, but I let Ryan know in a PM basically where our club stood.

                    Anyway, I'm a little disappointed in the dates proposed, but like was stated earlier, you have to go where and when you can get the most participation. As for the Cemetery Knights, all I can say is we'll see when the time comes. Weather will be a major factor for us when it comes to March and early April. And the club has 2 trips already planned for early and mid June so the later dates may be a problem financially. But, we will come if we can.

                          Myself and a couple of other guys here will probably make the trip. For us it would just be a couple hour drive. My wife and I will probably bring the RV and stay at a nearby campground. Keep those updates comeing....

                                The NHAA SERM will be held in Asheville, North Carolina from May 3rd - 5th, 2013.

                                Hotel TBA, but expect rooms to be around $110 per night. Rooms should be able to accommodate up to four guests comfortably.

                                Use of hotel conference room will run around $100, which will be split between attending clubs. We need to check if that is just for one day, or for the entire weekend.

                                Location and event scouting will take place during the first or second weekend of november. Please contact Carolina Coffin Cruisers if you would like to participate.
